This is how Focus Logic Social Club collects, stores, uses and protects any personal information you share with us, and the choices you have. Written to align with the Protection of Personal Information Act (POPIA).

Welcome to the Focus Logic Social Club privacy policy. We respect your privacy and take the protection of personal information seriously.

This policy explains how we collect, store, use and protect information that can identify you (your personal information), and what you can expect from us when you share it.

This policy applies to you if you are:

  • a visitor to our website, or
  • a customer or member who has ordered, or requested, the goods or services we provide.

What personal information we collect

Personal information includes information we collect automatically when you visit our website, information you give us on registration, information you give us when you submit an order, and optional information you choose to share.

It does not include information that has been made anonymous or permanently de-identified, non-personal statistical information, or anything you have already shared publicly (for example in a public forum, chat room or comment section).

  • Identifying information: your name, date of birth, or any identification number.
  • Contact information: your phone number or email address.
  • Address information: your physical or postal address.
  • Demographic information: your gender or marital status.

Sensitive personal information

Depending on the goods or services you require, we may also collect:

  • Financial information: such as your bank account details.
  • Biometric information: such as photographs.

We collect what we need to run your account, take your order, deliver to you, and keep you informed. We do not collect more than that.

Accepting this policy

You must accept all the terms of this policy when you order our goods or request our services. If you do not agree with anything in this policy, you may not order our goods or request our services.

Legal capacity

You may not use our website, order our goods or request our services if you are younger than 18 years old, or if you do not have the legal capacity to enter into a binding contract.

Deemed acceptance

By accepting this policy you confirm that you have read, understood and agreed to be bound by all of its terms.

Your obligations

You may only send us your own personal information, or the information of another person where you have their permission to do so.

Changes to this policy

We may update this policy at any time by changing this page. When we make a change, we will place a notice in a prominent place on the website and update the date above.

If you do not agree with a change, you must stop using the website, goods and services. If you keep using them after a change, the updated terms apply to you.

Section 06

How we collect your information

When you register

Once you register, you are no longer anonymous to us. On registration we collect your name and surname, email address, date of birth, telephone number, postal or street address, and your username and password. We use this to set up and run your account, and for the purposes set out in this policy.

When you order or request

When you order goods or request services, we ask you to provide some additional information on a voluntary basis (your goods or services information).

From your browser

We automatically record internet usage information in our server logs, such as your IP address, browsing and click patterns, the device and software you use, the pages you view, and the dates and times of your visits. Other websites you visited before ours may add information to your URL that we have no control over.

Cookies

We may place small text files called cookies on your device. These do not contain personal data, but they hold an identifier that lets us remember your preferences and tailor the website to you. Your browser usually accepts cookies automatically. You can change this setting or delete cookies, but some parts of the website may then stop working.

Optional details

You may share extra information voluntarily, for example when you upload or download content, enter competitions, take up promotions, answer surveys, or use other optional features.

Recording calls

We may monitor and record telephone calls you make to us.

Some information you hand us directly when you sign up or order. Some is picked up automatically by your browser and cookies as you move around the site.

Why we collect it

We use your information for the purposes you agreed to when you provided it, which generally include:

  • Goods and services: taking and fulfilling your orders and requests.
  • Marketing: lawful, related marketing activities.
  • Business: internal audit, accounting and business planning.
  • Legal: handling claims, complying with regulations and good governance.

We use your usage information to remember your details so you do not re-enter them, to measure how the website is used, and to track entries in promotions or activities.

Consent

We obtain your consent to collect personal information in line with applicable law, and when you give us your registration or optional information.

Messages and updates

We may send you administrative messages and email updates about the website. In some cases we may also send promotional messages and recognise the achievements of certain members.

When we share your information

We may share your personal information with:

  • Companies in our group, to provide joint services such as registration, transactions and support, and to help prevent fraud and policy abuse.
  • Affiliates, who we require to honour this privacy policy.
  • Service providers under contract, who help with parts of our operations such as fraud prevention, payments, marketing and technology, and who may only use your information to provide those services to us.
  • Credit bureaus, to report account information as permitted by law.
  • Banking partners, as required by card association rules, if you use our services to receive payments and meet their criteria.
  • Other trusted third parties who provide relevant services where appropriate.

Regulators and law enforcement

We may disclose your personal information where required by law or a government audit, under a subpoena or court order, to comply with any law, to protect the safety of any person or the public, or to prevent a breach of our terms.

We do not sell your information

We will not sell your personal information. We only disclose it as set out in this policy. We may share aggregate statistics, which describe our customers in general terms and do not identify you, with advertisers or business partners.

We share information only to deliver your order, run the business, and meet the law. We never sell it.

Section 09

How we protect it

We take security seriously and aim to comply with applicable data protection laws. Our hosting partner keeps the website in a secure server environment protected by a firewall and other measures. We only allow access to personal information to employees who need it for their work, and we maintain recovery procedures where appropriate.

Section 10

Keeping your information accurate

We try to keep your information accurate, complete and up to date for the purposes in this policy. You can review or update the information we hold by logging into your account, emailing us, or phoning us. To protect you, we verify your identity before we grant access or make changes.

Section 11

How long we keep it

We keep your personal information only for as long as needed to fulfil the purposes set out in this policy, unless the law requires or allows us to keep it longer, or you have consented to longer retention. While we hold it, we continue to keep it confidential and will not sell it.

Section 12

Transfer to another country

We may transfer and store your personal information outside the country where it was collected, including on servers in countries whose data protection laws may be less strict. By using our services, you consent to us processing your information in those countries.

Section 13

Your rights, updating and removal

You have the right to ask us to show you the personal information we hold about you, to correct it if it is wrong, to delete it where we are no longer entitled to keep it, and to object to certain uses such as direct marketing.

To update or remove your information, log into your account, or contact us using the details below. We will verify your identity first, then action your request as far as the law allows.

Note for review: Your POPIA Information Officer must be registered with the Information Regulator and named here. Replace this note with their title and contact details before the policy goes live.
